vimiBadge

vimiBadge is how your company recognises staff achievements with visual, collectible badges - given one-by-one, in bulk, or automatically when someone completes a challenge, class, or attendance milestone.

What is it?โ€‹

vimiBadge is the employee-recognition wall for your company - formalised, trackable, and tied to your performance data. Admins pick from a library of ready-made badges (or design custom ones), organise them into categories, and award them to staff for anything from anniversaries to hitting a sales streak.

Badges are not money. They are visual proof of achievement that live on a staff member's profile. A user who has earned the "Deal Closer" badge three times displays it with a small ร—3 pin on the icon. Over time the collection becomes a career snapshot of what the person has done at your company.

Because they are cheap (they cost nothing to issue), badges pair well with Diamond awards and vimiRewards redemptions - the badge is the permanent mark; the diamonds or rewards are the tangible prize.

Quick Startโ€‹

If your company has just turned on vimiBadge, do these five things first.

  1. Go to "Manage vimiBadges" from the top navigation.
  2. In the right-hand "Available vimiBadge" panel, click 3โ€“5 ready-made badges you want to adopt (e.g. 1 Year Anniversary, Top Performer). Give each a name and click "Add Badge".
  3. Click "Create New" โ†’ "Category" and create at least one category (e.g. Achievement, Milestone) so the library stays organised as it grows.
  4. Create your first custom badge: "Create New" โ†’ "Badge". Give it a name like Innovator of the Month, pick a category, pick an icon, and click "Create vimiBadge".
  5. Award a badge to a real staff member from their profile ("Assign vimiBadge" button).

After this, your company has a starter library and at least one staff member who has earned a badge. From here you can plug badges into automations (vimiChallenge, vimiClass, vimiCheckIn) so they get awarded automatically.

For Admins (Employer / HR / Manager)โ€‹

How to create your company's badge libraryโ€‹

Scenario: You want to seed the library with a mix of vimigo's generic badges and a few custom ones.

  1. Go to "Manage vimiBadges".
  2. On the right, under "Available vimiBadge", click any generic badge you like.
  3. Enter "vimiBadge Title" (e.g. Long Service), optionally fill "Description (optional)", and click "Add Badge".
  4. Repeat for each generic badge you want in your library.
  5. For a custom badge, click "Create New" โ†’ "Badge". Fill in:
    • "vimiBadge Name" - e.g. Client Hero
    • "vimiBadge Category" - pick one, or click "Create New Category" to make one inline
    • "description" - explain what the badge is for
    • "select icon" - choose from the icon grid (the preview updates on the right)
    • "Upload custom vimiBadge icon" - if your company has custom icons enabled, upload a 50ร—50 px image
  6. Click "Create vimiBadge".

Your badge now appears in the left-hand "Company vimiBadge" library, grouped under its category.

How to assign a badge to one staff memberโ€‹

Scenario: Recognise Wei for a specific win - a tough client saved - with the "Client Hero" badge and a note.

  1. Open Wei's profile.
  2. Scroll to the "vimiBadges" section and click "Assign vimiBadge".
  3. Use the "Search" box to find Client Hero.
  4. Click the row - it highlights to show it's selected.
  5. In "Add Remark (Optional)", write the context: Saved the Axis account from churning - great call on 12 Apr.
  6. Click "Add vimiBadge".

Wei gets a "Congrats, vimiBadge unlocked!" push notification and the badge appears in her grid. If you ever award the same badge to her again, it stacks with a ร—2, ร—3, โ€ฆ pin.

Tip: The remark is what makes the recognition meaningful. A badge with a specific story attached ("Saved the Axis account from churning") is ten times more motivating than one with no remark.

How to assign the same badge to many staff (bulk)โ€‹

Scenario: The whole Operations team hit perfect attendance for March. Give them all the "Perfect Attendance" badge.

  1. Use the user list view or a department filter to find the group.
  2. For each profile, click "Assign vimiBadge" โ†’ pick Perfect Attendance โ†’ optionally add a shared remark (March 2026 - 100% attendance) โ†’ "Add vimiBadge".

If you have many staff to award at once, consider using a Badge Pack instead (see below) - it bundles one or more badges and assigns them to a list of users in one action.

How to create and use a badge pack (onboarding kits)โ€‹

Scenario: You want every new hire to receive a standard bundle of three badges on their first day - Welcome, Trained on vimigo, and Orientation Complete.

Badge packs are created and assigned via vimigo's automation tooling. Work with your vimigo VSP contact to set up a "New Hire Welcome Pack" configured as:

  • Title: New Hire Welcome Pack
  • Description: Assigned on day 1 to every new employee.
  • Status: Private (only your company sees it)
  • Badges: Welcome, Trained on vimigo, Orientation Complete

Once configured, assigning the pack to a new hire awards all three badges at once and sends a single notification per recipient.

How to approve or reject a badge request (peer nomination)โ€‹

Employees can request badges - either for themselves (milestones like 5 Year Anniversary) or to nominate a colleague. These requests land in your review queue.

  1. Go to the badge requests queue (your admin UI exposes this as a "Pending Requests" view).
  2. Review the details: who submitted the request, which badge, and any supporting remark.
  3. Click "Approve" - the badge auto-assigns to the requested person and they get a push notification.
  4. Or click "Reject" - the requester is notified with your reason (if you enter one).

A requester can also cancel their own pending request before you action it.

How to run the badge report for a departmentโ€‹

Scenario: For a quarterly review, you need a list of every badge the Sales department earned in March 2026.

  1. Go to "Reports" โ†’ "User Badge Report".
  2. Set "Date From" = March 2026.
  3. Set "Date To" = March 2026.
  4. Pick Sales from the department filter.
  5. Leave the badge filter on "All Badges".
  6. Click "Generate".

The results table shows one row per award: "Assigned Date", "Assigned By", "Assignee", "Status", "Department", "Badge", "Description", "Remarks". Export to CSV, Excel, or PDF using the buttons above the table.

How to remove a wrongly-awarded badgeโ€‹

  1. Open the user's profile and find the badge in their grid.
  2. Hover the badge - a small red ร— icon appears (if you have remove permission).
  3. Click the ร—.
  4. Confirm the prompt: "Are you sure that you want to remove this badge from user's badges?"
  5. The count decreases by 1 (or the badge disappears entirely if it was the only instance). A flash message confirms: "vimiBadge removed".

The history record is kept for audit - removed badges don't appear in the active grid but show in the badge history for that user.

How to let other modules auto-award badgesโ€‹

Most of the best badge use-cases are automated - no admin clicks needed. Badges can be configured to award automatically when:

  • A vimiChallenge completes โ†’ winner gets the challenge's reward badge
  • A vimiClass cycle closes โ†’ class medals (which are badges) distribute based on grade
  • A vimiCheckIn streak hits a milestone โ†’ attendance badge awards
  • A vimiRoadmap point threshold is reached โ†’ configured badge awards

To set up auto-awards: in the relevant module's settings, attach a badge to the trigger condition. For example, when creating a vimiChallenge called March Hustle, point its badge-reward field at your Hustler badge. From then on, every completion awards the badge automatically.

For Employeesโ€‹

How to see your badgesโ€‹

  • Web: Go to your profile. The "vimiBadge" widget shows all your badges in a grid. Badges you've earned more than once show a ร—N pin.
  • Mobile: Open the vimigo app, navigate to your profile, and tap the badges section.

How to see your full badge historyโ€‹

  1. From your profile, scroll to the "vimiBadges" section.
  2. Click "View History".
  3. You see a sortable table with columns "vimibadge name", "date achieved", "description", and "remarks" - every award you've ever received.

Use the "Search" field to narrow to a specific badge. This is also where the full context (who gave the badge and why) is preserved.

How to pin your favourite badgesโ€‹

In the mobile app's badge settings, tap the pin icon next to any badge to feature it on your public profile. Pinned badges appear prominently on your profile for colleagues to see.

How to request a badgeโ€‹

If you believe you deserve a badge that no admin has given you (e.g. a service-length badge on your anniversary), you can self-nominate.

  1. Browse your company's badge library.
  2. Tap the badge you want to request.
  3. Submit the request (sometimes called "Nominate").
  4. Wait - your request goes to the admin's pending queue. You'll get a notification when they approve or reject it.

You can cancel your own request before an admin actions it.

FAQโ€‹

Q: Can the same badge be awarded to the same person more than once?

A: Yes - this is intentional. Each award is a separate record. The icon in the user's grid shows a ร—N pin to indicate multiple awards. Hover the badge to see the full list of awards with dates and remarks.

Q: A staff member says they don't see a badge I gave them. What's wrong?

A: Ask them to refresh their profile - the widget caches briefly. If it's still missing, check that the badge is actually in your company's library ("Manage vimiBadges") and that you didn't filter the library view to a category that excludes it.

Q: Why can't I edit this badge - I get a message saying "Duplicate and edit it instead"?

A: It's a generic (vimigo-provided) badge, which is shared across all companies. You can't change it because your edits would affect every other company. To customise, duplicate the badge (create a new one with the same icon) and edit your copy.

Q: I deleted a badge from the library - why does it still show in old reports?

A: Deleting a badge removes it from the library (so it can't be awarded again), but past awards keep the reference for audit and reporting. This is by design - your recognition history stays intact even when you retire old badges.

Q: An employee submitted a badge request but I can't find it.

A: Look for a "Pending Requests" queue or filter in your badge admin UI. If your company handles many requests, consider delegating this review to department managers rather than concentrating it at HR.

Q: Can I make a badge visible only to the Sales department?

A: Not directly - badges are company-wide. What you can do is only assign the badge to Sales staff, and use the department filter on the "User Badge Report" to view just that team's awards.

Q: Does deleting a category delete its badges?

A: No. Deleting a category leaves the badges intact - they simply move to "Uncategorized" on the main page.

Q: Do staff get a notification when they earn a badge?

A: Yes. They get a "Congrats, vimiBadge unlocked!" push notification with the badge name. Staff who have opted out of the "moduleBadges" topic in their notification preferences won't receive it.
